Location | On-site (Coral Gables, FL)

Compensation | $25-30/hour, est. $800-1,200/month commensurate with experience

We are looking for someone who can hold the flow of the day, care for the space and the people in it, and co-create the space for young people to thrive. This role is about care – care of people, of space, of process. It’s making sure the doors are open, the music is where it needs to be, families feel welcomed, and the day unfolds with steadiness and intention. It’s a behind-the-scenes role that makes everything else possible.

 


Position Overview:

 

The Rehearsal Coordinator is the steady, welcoming presence at the heart of our Saturday program. This role ensures that rehearsals run smoothly, safely, and with care; from opening the building in the morning to closing it at the end of the day.

 

You are often the first person families see when they arrive and the person making sure every detail behind the scenes is in place. You hold the logistics so that singers and staff can focus on making music together.

This is a highly on-site, hands-on role that blends organization, hospitality, and attentiveness to people and space.

 


Key Responsibilities:

 

Saturday Rehearsal Operations

  • Open and prepare the building for rehearsals each Saturday morning

  • Ensure all rehearsal spaces are set up, clean, and ready for use

  • Serve as the primary on-site coordinator throughout the day

  • Support smooth transitions between ensembles and activities

  • Close and secure the building at the end of the day


     

Music & Materials Management

  • Coordinate with artistic staff on music needs and preparation

  • Prepare, distribute, and collect music for all ensembles

  • Maintain an organized and up-to-date music library (physical and digital)

  • Track music inventory and ensure materials are returned and properly stored

 

 

Family & Singer Experience

  • Serve as a warm, visible, and approachable point of contact for parents and families

  • Manage arrival and dismissal flow with clarity and care

  • Be present at the entrance to support safety and check-in procedures

  • Respond to questions and help direct families as needed

     

Safety & Facility Stewardship

  • Monitor entry/exit points to ensure a safe and secure environment

  • Maintain awareness of who is in the building at all times

  • Ensure rehearsal and common spaces are respected and well cared for

  • Communicate any facility needs, issues, or incidents promptly

 

Coordination & Communication

  • Work closely with the Artistic Director, Director of Operations, and General Manager to support rehearsal needs

  • Communicate weekly logistics and updates as needed

  • Assist with administrative, organizational, and/or event-based tasks outside of Saturdays (within weekly hour range)
     

 


Qualifications:

 

  • Strong organizational skills and attention to detail

  • Warm, professional presence with families, students, and staff

  • Ability to manage multiple moving parts in a dynamic environment

  • Comfortable taking initiative and problem-solving in real time

  • Reliable, punctual, and consistent

  • Experience working with youth programs, schools, or arts organizations preferred
